Operations / CAM

At IPMS, our licensed CAM Managers are dedicated to ensuring the efficient management and operation of your community association in South Florida. We meticulously collect, organize, and maintain all essential association documents, including the Declaration of Restrictions, By-Laws, rules and regulations, and any amendments (collectively referred to as the “Governing Documents”). This ensures that all relevant information is readily available for both board members and residents.


Key Services:

  • Communication: Our team assists the association by preparing newsletters, special notices, meeting agendas, minutes, rules bulletins, and surveys, all available in both English and Spanish upon board request.
  • Owner Support: We effectively resolve individual owner issues related to the association and common areas, ensuring compliance with the Governing Documents.
  • Property Inspections: Regular property inspections are conducted at least every two weeks. We provide detailed reports and recommendations to the board regarding preventative maintenance, ensuring that community standards are consistently met.
  • Rules Enforcement: Our managers aid the board in enforcing community rules, issuing written notifications of violations, and supporting legal actions when necessary.
  • Assistance to the Board: We attend all board meetings, prepare agendas, and provide monthly management reports detailing the status of operations affecting common areas. Our team ensures board members are informed of relevant legal changes regarding homeowners associations.
  • General Membership Meetings: Our team attends annual and special membership meetings, coordinating with attorneys to prepare necessary documents and mailings for all members.
  • Performance Monitoring: We review and monitor the performance of service contractors, providing recommendations for improved efficiency and reduced maintenance costs.
  • Insurance Management: We solicit and analyze bids for necessary insurance coverage to meet the association’s needs and ensure compliance.
  • Service Contracting: Our managers solicit and analyze bids from service providers, submitting recommendations for board consideration while supervising contracted services to maintain quality.

Accounting

  • Annual Budgeting: We assist in preparing an annual budget that reflects anticipated expenses, ensuring reserves are set aside as mandated by Florida Statutes. The budget is prepared for board consideration each September and includes a comparison to previous years.
  • Financial Reporting: Our monthly financial reports include essential documents such as: Balance Sheet; Operating Income Statement; Owner Receivable Listing; General Ledger; Cash Receipt Register; Payroll Details (if applicable)
  • Year-End Statements: We support the board-appointed CPA in preparing year-end financial statements, ensuring all documentation is in order for audits.
  • Tax Filing Assistance: We assist in conjunction with  a tax preparer or CPA, work papers and with filing local, state, and federal tax forms as required. 
  • Disbursement Management: Our team verifies all bills and payment requests for accuracy. We prepare checks for board approval, ensuring transparency with all expenditures.

Accounts Receivable

At IPMS, we handle the collection of all assessments prescribed by the association. Our aim is to ensure timely payments and maintain the financial health of your community.

  • Assessment Collection: We establish and maintain checking and savings accounts under the association’s name, including separate accounts for operational expenses, special assessments, reserves and security deposits.  We offer multiple electronic options of payment.
  • Delinquent Account Management: Our team arranges for the collection of delinquent accounts according to board directives, which may include filing liens and initiating foreclosure actions.
  • Lockbox Arrangement: With board approval, we can set up a lockbox system for processing assessments, enhancing efficiency in payment collection.
